QuickBooks Online Integration: Automated Billing and Revenue Share

Every carrier account in our system syncs automatically to QuickBooks Online as a customer record. When a carrier registers, their company name, MC number, contact information, and billing preferences flow into QBO without staff touching the accounting system.

Invoices are generated directly from our billing engine. Platform fees, load-based charges, and promo adjustments calculate on our side and push to QBO as properly formatted invoices with line items, due dates, and carrier references. No re-keying, no copy-paste errors, no reconciliation headaches.

On the expense side, vendor bills for our device provider are created automatically. Our system tracks exactly how many devices are active, calculates the per-device monthly cost at our contracted rate, and generates the corresponding vendor bill in QBO. This is one of our largest recurring expenses — automating it eliminates a monthly manual process that was error-prone and time-consuming.

Revenue share journal entries are where the integration really pays off. Every carrier in the Carrier Preferred program earns 7.5% of monitoring fees on their loads. Calculating that across dozens of carriers with varying load counts and applying it as proper journal entries used to require hours of spreadsheet work. Now it's a single API call from our platform.

The integration uses OAuth 2.0 for secure authentication, with automatic token refresh and connection health monitoring. Staff can check the connection status, force a sync, or review the integration log from within the Guardian Visibility portal.
